Reqoia is a staff-side toolkit that helps government agencies triage and respond to Texas Public Information Act (PIA) requests. This Privacy Policy explains what information we collect when you use Reqoia, how we use it, and the choices you have. It applies to the Reqoia application and related services (the “Service”).

1. Information we collect

Account information. When your organization creates an account, we collect names, work email addresses, and organization details needed to provision and secure access.

Request content. We process the public information requests, uploaded documents, and related records you submit to the Service so that Reqoia can help you review, redact, and respond to them.

Usage data. We collect activity logs, device and browser information, and diagnostic data to operate, secure, and improve the Service.

2. How we use information

  • Provide, maintain, and secure the Service.
  • Generate statute-anchored recommendations for human review. Reqoia never auto-redacts or auto-responds on your behalf.
  • Monitor for abuse, troubleshoot issues, and improve features.
  • Comply with legal obligations and enforce our terms.

3. How we share information

We do not sell your personal information. We share information only with service providers who process data on our behalf under confidentiality obligations, when required by law, or to protect the rights and safety of Reqoia, our customers, and the public.

4. Data retention

We retain information for as long as your organization maintains an account or as needed to provide the Service, and thereafter as required to comply with legal, records-retention, and audit obligations. Your organization’s administrator controls the request and document data stored in Reqoia.

5. Security

We use administrative, technical, and physical safeguards designed to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

6. Your choices

You may access, correct, or request deletion of your personal information by contacting your organization’s administrator or us directly. Depending on your jurisdiction, you may have additional rights regarding your personal information.

7. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice.
